Secretary for Foreign Affairs

1. Job description:

- Document preparation: Drafting, editing, and archiving important documents such as reports, meeting minutes, contracts, or correspondence from the management team.

- Managing communications: Handling emails, phone calls, or correspondence on behalf of the Management team; filtering and forwarding important information to the right recipients.

- Monitoring tasks: Reminding the Management team about deadlines, important events, or priority tasks.

- Organizing meetings or events: Preparing documents, minutes, and necessary materials for management meetings or important company events.

- Coordination between departments/units: Acting as a bridge between the Management Board and various departments within the company, conveying directives from the Management Board or collecting reports from departments/units.

- External Relations Support: Arranging meetings with partners, clients, or government agencies; sometimes acting as an interpreter or initial communication representative.

- Handling sensitive information: Secretaries often have access to important strategic, financial, or personnel information within the company. Therefore, they must ensure confidentiality.

- Document archiving: Managing and archiving important records of the Board of Directors or the company, ensuring compliance with the Archives Law 2011.

- Advisory role: In some cases, the secretary may offer opinions or suggestions based on the information gathered.

2. Requirements:

  • Appearance & Attitude:

- Professional appearance and confident demeanor.

- Honest, discreet, detail-oriented, flexible, and able to work under pressure.

  • Communication & Interpersonal Skills:

- Strong communication and interpersonal skills.

- Tactful, polite, and diplomatic in professional interactions.

  • Professional qualifications:

- Proficient in office software (Word, Excel, Outlook, etc.)

- Ability to communicate in a foreign language (English, Chinese, etc.) at a basic level.

  • Job requirements:

- Able to manage and organize work and schedules effectively. Capable of working in shifts.

- Possesses strong diplomatic skills and the ability to work with partners and government agencies.

- Proactive and flexible in handling emerging problems.

3. Benefits:

- Salary ranges from 15 million to 30 million VND. Negotiable based on qualifications and experience.
